What is your challenge as you see it?

“As a project manager managing large IT service delivery across different countries, I need a common portal for all our team members. My team members must be able to see their work schedule expectations as work gets allocated, along with guidelines for my team to help prioritize their own work. It should be more than just an automated mechanism for logging in their time, along with work completion. It should be a forum for communicating technical issues, difficulties and action items, besides exchanging views and ideas related to the project.”

What solutions do you have today?

”Today, we do not have any single solution to achieve that. We have homegrown software to capture timesheets, where all IT team members log their time against a project charge code. But it does not tell us enough information about capitalization and expense components. We have a way of capturing how much work remains, but we do not know how to account for the time requested or the time spent. We use emails to communicate issues and action items. But most of the tactical hassles are handled by meetings, which is not effective due to geographic and language issues.”

What exactly do you need and why is it different?

You need an automated mechanism for resources to see their tasks as they get allocated. You need a mechanism for submitting time against the tasks, and remaining work, besides completion status, issues and action items. You need the timesheet approval process formalized and completely accountable, in a form that automatically rolls up to the project levels and above. You need a mechanism where the team members can communicate and collaborate, without the use of emails and it serves as a conduit of communication between the team members, different cost centers and the project manager.

GRIP-IT Associates Portal has automated links with the Finance manager, Resource Manager and Project Portal components, which gives the biggest savings in terms of time, data accuracy and timely visibility to all quantitative aspects, as well as issues that crop up in the product development cycle.
